ID cell issues physical and digital ID cards, and medical booklets.
Physical ID Cards:
Photo ID cards are issued to permanent employees of the Institute, adjunct and visiting faculty, retired employees, contractual employees, regular and visiting students, and postdoctoral fellows. Each ID card bears the signature of the cardholder and is also signed by a respective authority of the institute. The cards include barcodes that can be used to verify the ID and access various services within the Institute, such as entry to swimming pools, libraries, computer labs, and more.
The institute is in the process of issuing new physical ID cards, starting with students who joined during the academic year 2025-26. These new photo ID cards are printed on both sides. For verification of the ID cards, the front of the ID card features a QR code that can be scanned using the "IITK App," which is available for download from the Apple App Store or Google Play Store. Additionally, the ID cards are equipped with NFC chips and barcodes, which can be used for various campus services. These ID cards have several security features, such as holograms.
All individuals must visit the ID cell in person to obtain or reissue their ID cards. If you lose your card, please contact the ID cell immediately.
Digital ID Cards:
IIT Kanpur, in collaboration with C3i Hub, has developed digital IDs based on blockchain technology. Digital IDs are currently issued to all regular employees and students, with plans to roll them out for others in the near future. The IDs can be accessed through the “IITK App,” which is available for download on the Apple App Store or Google Play Store.
To verify the digital ID card of IIT Kanpur, download the IITK App and use the QR scanner to scan and verify. For the verifier, there is no need to log in to the IITK App.
Dependent Digital ID Cards:
Effective January 27, 2026, family members of employees who are officially recognized as "dependents" will be able to obtain a Digital ID card through the IITK App.
Employees can view Dependents' ID cards in the employees' Digital ID after updating the IITK App to the latest version from the Google Play Store or the Apple App Store. After logging in to the IITK App, ID cards will be visible under "Credentials" > "Dependents" tab. Once the Step 1b is complete, these Digital ID cards can be moved to Dependents’ mobile.
You are kindly requested to follow these steps:
- Verify the dependent's data:
- Log in to Office Automation https://oa.iitk.ac.in/
- Go to Personal > Dependent Verification > Dependent Details.
Employees can Edit Details and provide the mobile number of the dependent for whom the Digital ID card will be issued. - Once Step (b) is complete, the dependents can see their ID cards (only) on the IITK App on their mobile phones (and no longer under the IITK App of the employee).
- If Step (b) is not complete, the dependents' Digital ID cards are visible on the Employee's mobile.
- The IITK App must be installed on the respective mobile phones of dependents.
- When logging into the IITK App, dependents should enter their mobile number (instead of the employee's mobile or PF number) and select "Dependents" under "Select Type".
- If an employee does not find the dependent's name or credentials in the employee's IITK App, even though the data is correct on the Office Automation portal, the employee must check the IITK App on the dependent's mobile number (entered on the Office Automation portal).
- The Address field in the Digital ID contains the employee's Current Address.
- Any changes made in the portal will be reflected in the Digital ID within 12 hr.
- For changing any other data field (such as name, adding or deleting the dependents' data), academic staff members should contact the DOFA office (This email address is being protected from spambots. You need JavaScript enabled to view it. ), and all other employees should contact the Registrar's Office (This email address is being protected from spambots. You need JavaScript enabled to view it. ).
- To add the photograph and signature on the Digital ID of dependents, they need to visit the ID Cell during office hours.

Non-Dependent Digital ID Cards:
Effective March 20, 2026, family members of employees who are not officially recognized as "dependents", but live with the employee on campus, will be able to obtain a Digital ID card through the IITK App.
Digital ID cards can be issued to non-dependent family members under the following relationship categories: spouse, father, mother, son, daughter, father-in-law, mother-in-law, or sibling.
The ID card must be requested by the employee through an online portal, following these steps:
- Log in to Office Automation https://oa.iitk.ac.in/
- Go to "Personal" > "Temporary Residents/Non-Dependent"
- Select "Add Resident".
Additional Information:
- If an employee wishes to have the photograph and signature of non-dependent members on the ID card, members can visit the ID Cell during office hours.
- The mobile numbers on which Digital ID cards are to be issued should be provided by the employees in the online form (Step 1).
The IITK App must be installed on the respective mobile phones.
When logging into the IITK App, family members should enter their mobile number (instead of the employee's mobile or PF number) and select "Temporary Residents" under "Select Type".
If an employee wishes to add the ID card of a non-dependent member to their IITK App, the employee's mobile number must be provided alongside the name of the non-dependent member on the Office Automation Portal (Step 1).
- Any updates made on the Office Automation portal (including the mobile number) can take up to 12 hrs to get reflected on the IITK App.
- An employee can add/delete residents' information at any time through the portal.
- At a time, the validity of the ID card can be up to one year. However, employees can extend the validity at the end of the initial one-year period through the online portal (Step 1).
