Administrative & Communication Officer
Position Summary: Responsible for managing official communication, handling of all accounting, budgeting, financial reporting tasks and coordination with stakeholders, and ensuring smooth flow of information to the funding agency.
Key Responsibilities:
- Coordinate meetings, workshops, and conferences, including documentation, calendar and minutes.
- Draft, review, and issue official letters, emails, and notices.
- Maintain books of accounts and project expenditure records.
- Process purchase indents, bills, reimbursements, and vendor payments.
- Liaise with IITK Accounts Section and funding agency for financial matters.
- Prepare budget statements, and financial reports.
- Track fund disbursement schedules and project budget utilization.
- Maintain project communication records and correspondence database.
- Assist in preparation of periodic reports, presentations, and publicity material.
- Ensure timely dissemination of project updates to internal and external stakeholders.
- Any other tasks assigned by the PI.
Qualifications & Skills:
- Postgraduate degree in Communication, Management, Humanities or relevant field to the post & Tasks + 8 years of relevant experience in key responsibilities Or
- Graduate with 12 years of relevant experience at appropriate level in a Govt. organization or educational institute or an organization of repute.
- Excellent written and verbal communication skills in English (knowledge of Hindi preferred).
- Proven Proficiency in MS Office suite (MS Word, Excel, Power Point), email handling, and document formatting. Knowledge of accounting software (e.g., Tally) is desirable.
- Strong organizational and multitasking abilities, accuracy in record-keeping.
