Do we need to bring our own Sports Kits? Of course...yes. Each institute shall bring their own kit which should be in same color for a particular game.
How do I pre-register for an event in Udghosh? We have already dispatched the pre-invitation to your college. Please get in touch with your authorities for the same and kindly act as per instructed in the pre-invitation letter.
What about medical facilities on the campus?
We have a Health Centre on the campus (known as HC) with all the medical facilities.
How to reach the campus on arrival at Kanpur ?
Once You reach the Kanpur Station ,there are tempo, auto rickshaw or taxi facilities easily available for IIT Kanpur. After reaching campus, please report at the hospitality desk at the Student Activity Centre.
What do we need for final registration?
Teams can advance register through post. Advance registration will reduce your wait time at the hospitality desk to nil and will enable us to assign a personal student guide to you much before you arrive. College I-Card and 4 passport sized photograph of each participant.
Registration fees at the cost of Rs 800 per participant. Any faculty or staff accompanying them will also need this fee. This fee covers your boarding and lodging at IIT Kanpur. This has to be paid in cash only. Please make sure that you mention the name of the college and the team leader on the reverse of the demand draft.
In addition each college/institute needs to submit a fully refundable security deposit of Rs. 5000/- per college/institute.
Notes about Advance Registration:
In case a college decides to drop a few participants or add a few participants at the last moment, you can bring them along with an authorization letter, and we will add them to your list when you arrive. You will of course need to bring the fees and the documents for them. Just drop in at our hospitality desk after you reach IIT Kanpur and we will do the needful.
Any participant or college who cannot make it to Udghosh for any reason will be refunded the full registration fees and the security deposit.
We advance registered. Now one of the team members has fallen sick. Do we lose his money?
Absolutely not. Any minor addition or subtractions to the team can be made after reaching IIT Kanpur campus. Full money of any participant will be refunded if he is not able to come. You, however, will need a letter of authorization from the head of your institute for this.
What is the registration fees per participant? What all do we get?
The registration fees shall be Rs 800 per participant. In addition, a college/institute has to submit a security deposit of Rs 5000/-. Registration fees covers all costs of fooding and lodging at IIT Kanpur campus. We will provide you with quilts, pillows. So, no need to bring that along. However you might bring your own blankets.
What about my accommodations at the institute?
We have 8 boy's hostels and 2 girl's hostel on the campus. There is also the SBRA hostel for post graduates. The boys and girls of your team would be accommodated separately in these in a dormitory sort of arrangement. The faculty can stay along with the team members. However, special arrangements can be made for the faculty at their discretion.
What are the mess arrangements?
Arrangements for messing will be made in the hostels' messses. Participants from previous years have admired the quality of our food. We hope to live up to the standards. Charges for messing are included in the registration fees.
When am I expected to arrive and what will be the duration of my stay?
Your arrival is expected a day or two before the commencement of the festival depending on how far you stay from Kanpur. You can also arrive on the actual date of the festival, though we do not with suggest this as it may cause inconvenience to you. The duration of your stay is expected to coincide the festival duration. We will be providing you lodging facilities from 21st Sept '10 afternoon 12 noon onwards.
What about the security inside the campus?
We have a private security agency called SIS active all 24 hours. Its job is to safeguard the campus against thefts and see to the security of the hostels.
What are the facilities available inside the campus?
We have a shopping centre (known as ShopC) on the campus where you can get articles of daily the use. Apart from that we have two restaurants: Rasoi at SAC and Campus Restaurant at shopping centre. We have canteens in all the 10 hostels as well as a TV installed in each of them. In addition, there are a few more canteens in the academic area. There is a railway reservation booth inside the campus too.
Whom should I contact on reaching the campus?
Each team is supposed to report at the Hospitality desk in the SAC (Students' Activities Centre) on arrival. This will be shown to you by your escorts of the Hospitality Cell. Here you will be registered.
What kind of discipline is expected from me?
IITK is known for its strict discipline and the respect that the campus community has for its culture. Though we in no way stop you from completely enjoying the festival, we at least expect from you to honor the IITK tradition. Please do not bring liquor inside the campus and do not be involved in hooliganism and rowdiness.
What about the prizes and Certificates ?
All prize money and certificates will be distributed in a closing ceremony on the evening of 25th September.However the prizes of informals may be given on the spot.
However some arrangements can be made for team leaving early provided they inform us well in early.
What shall I bring with me ?
We will provide you with mattresses, pillows for your stay. You MUST bring your institute Icard along with you. Participants of various events should bring whatever they require in their respective events. Regarding this you can e-mail the respective coordinators of the events. The team should bring a letter of authorization from their college with the names of all the team members clearly mentioned. Members whose names have not been mentioned in the letter shall not be allowed to participate in the festival.
Our college didn't get the pre-invitation letter. What should I do? Simple...Just send a mail to us stating which games your college shall be tentatively participating in. Kindly mail the same latest by 25th August at udghosh@iitk.ac.in. Please note that the pre registration doesn't necessarily ensure your participation in Udghosh '11 since the no of teams have an upper limit. We would get in touch with you for the same once we get all the mails.
Suddenly our exams have been announced. Our team will not make it. Do we get our money back?
If any team fails to appear after advance registering, we will send back the entire registration fees and security deposit after deducting a small processing fees to take care of postal costs.
Is there a limit on the number of faculty/guardians accompanying the team?
You can bring at most two faculty members/guardians with one team.
